Time blocking fails when it pretends the day has no surprises. Flexible time blocking works better: it gives important work a place, while leaving room for interruptions, energy changes, and ordinary life.
The goal is not a beautiful calendar. The goal is a day you can still recover after the first plan breaks.
A Realistic Planning Story
Oleg planned every hour perfectly: writing at 9, calls at 11, admin at 13, exercise at 18. By 10:15 a client emergency destroyed the plan. The rest of the day felt like failure.
The problem was not time blocking. The problem was pretending the day had no risk.
He switched to flexible blocks:
- morning anchor
- one focus block
- one admin block
- one buffer
- one recovery boundary
The plan became less precise and more useful.

A More Resilient Time-Blocking Method
Use blocks as intentions, not prison walls.
Plan:
- Anchors: fixed commitments.
- Focus blocks: hard work.
- Admin blocks: shallow work.
- Buffers: interruptions and overflow.
- Recovery: sleep, meals, movement, stopping.
Give every day at least one buffer. On stable days, the buffer becomes extra progress. On messy days, it prevents one interruption from ruining every later block.

9:00-12:00 finish entire report
try:
Morning focus block: draft report findings section
Instead of filling every gap, leave one block unnamed.
Better:
Admin block: answer client email, upload receipt, schedule dentist appointment.
Common Time-Blocking Mistakes
Do not schedule deep work in every empty calendar slot. Empty time is not always usable energy.
Do not treat a missed block as proof that the whole day failed. Move the task, shrink it, or replace it with a next action that fits the time left.
